Public speaking group in the Faculty of Agricultural and Food Sciences
Dear students,
Good morning, I am Eric, an ungraduated student from Agriculture Business. My partners and I
are going to start a public speaking group in the Faculty of Agricultural and Food Sciences in
this semester so we hope that students who are interested in joining our Public speaking group
can send email back to us to contact us.
We set up this group to help students improve their public speaking skills, and also to help
students communicate effectively with the general audience about agriculture and food topics. At
the same time, participating in our Public speaking group can enrich the extracurricular life and
exercise students own ability thought our group activities such as have a toastmasters meeting at
University Centre for advertising about agriculture.
We need to find at least 12 students as our members to register for Public speaking group with us
so that we can be funded as a student group. More importantly, if we receive funding, it may be
possible for my team members to attend the Aggie public speaking conference at the University
of Alberta later this semester. This is also a good opportunity for students to show themselves
and enrich their life experience.
If you are interested in joining us, please send an email to introduce yourself (including name,
major, specialty, etc.). Our email is xxxxxxx@myumanitoba.ca.
We welcome you to join us!
Sincerely,
Thank you,
Eric.

Dear James,
Hope you are doing well. This is Eric, I was one of your students in UofM and I had participated
one of your agriculture programs. I am currently applying for a plant safety researcher position
of the fresh food company where I believe their early detection techniques of foodborne
pathogens is going to have wide prospect in the future.
Your lectures back in university really gave me a lot of knowledge and you also inspired me how
marvelous agriculture is. As application goes to its final phase, they informed me that I may need
a reference from my professor and thats why I am contacting you. Fresh food company have
developed a high-tech solution for rapid, accurate microbial detection and their team contributed
a lot to global food safety and I am really eager to be part of this ascending team.
I believe I am qualified for the position because I learned quite a lot of skills from my project in
university. Having work and study with you for three academic years, I am hoping you will
provide a reference for me. As my reference, an email will be sent to you from the company to
confirm my academic achievement and my personal ambitious.
Sincerely
Thank you
Eric

Email Assignment
DUE:
At the beginning of class- deadline listed in syllabus. Hand in a hard copy at the
beginning of class, and email me a soft copy. Include a title page. See syllabus for
assignment submission guidelines. Marks will be deducted for failure to follow
instructions.
WORTH:
6% of your final grade
You have been given two scenarios below for which you are to write effective emails that are sound in
terms of logos, ethos, and pathos. You must include all standard components of an email.
1.) You and a few like-minded fellow students are looking to start a public speaking group in the
Faculty of Agricultural and Food Sciences. This groups purpose is to help develop public
speaking skills while also learning how to communicate effectively about agricultural and foodrelated topics to a wide range of audiences. In order to qualify for funding as a student group,
you need a minimum of twelve members to sign up for the group. Attaining funding will likely
allow your group members to participate in an Aggie Public Speaking conference at the
University of Alberta later this term.
Write an email to send to all of the students in the faculty encouraging them to join your group.
Be sure to include:
-advantages/incentives for them to join
-information about the groups purpose and activities
-sign-up information
-any other important information (IMPORTANT: think about the five Ws)
NOTE: A group like this might look something like a Toastmasters group (google Toastmasters),
but would also be substantially different to Toastmasters.
Max: 300 words
2.) Write an email to a former instructor or employer, requesting permission to name that person
as a reference in a job application. Be sure to include all of the information the person will need
in order to serve as a reference for you. NOTE: You are asking for someone to be a reference,
and you are NOT asking for them to write a letter of reference.
(See: https://tulane.edu/hiretulane/students/upload/Asking-For-References.pdf for a checklist)
Helpful Hints:
1.) Do not spend a lot of time stating the obvious (e.g. if you agree to serve as my reference,
the company will contact you by telephone or email. This is standard practice, and so does
not need to be said.).

Email Assignment
2.) Remember to think of the beginning, middle and end when organizing this email. You should
introduce, discuss, and then conclude.
Max: 300 words
IMPORTANT:
These are imaginary scenarios, so you are free to embellish and add details to both scenarios as you
wish, as long as the details are realistic (e.g. Your student group funding will not be enough to feed
everyone lunch and drinks at Degrees once a week at meetingsthat is highly unrealistic)
Each email will be assessed in four major categories:
Content (Have you covered the 5 Ws? Have you included all of the necessary components of an email? Have you
provided me with info that suits the task assigned? Have you adhered to the conventions of professional writing
mentioned in the readings and in class? ) 50%
Organization (Have you organized your emails in a logical, coherent, reader-friendly way? Is the email written in a
logical order? Also think: flow, white space, good use of lists, bullets, bolding, etc. where appropriate) 10%
Style (Have you followed the technical writing conventions we’ve discussed and practiced in class? Think tone,
concise sentences, clear language, active voice, avoidance of clichés, etc.) 20%
Mechanics (Grammar, Spelling, Punctuation) 20%
